Cancellation policy
Right of Withdrawal & Model Withdrawal Form.
This Cancellation & Withdrawal Policy explains how Welcoma subscriptions and recurring services can be cancelled, when refunds may be available, and how eligible consumers may exercise a statutory right of withdrawal.
This Policy applies to purchases made directly from Welcoma / webAufstieg GmbH through welcoma.app or an official Welcoma checkout.
Please note that cancelling a subscription and withdrawing from a contract are different:
- Cancellation normally prevents your subscription from renewing for another billing period.
- Withdrawal is a statutory consumer right that may allow an eligible consumer to reverse a recently concluded contract within the legally applicable withdrawal period.
Nothing in this Policy limits any mandatory consumer rights that cannot legally be excluded.
1. Provider
Welcoma is operated by:
webAufstieg GmbH
Anton-Huber-Straße 20
73430 Aalen
Germany
Email: info@welcoma.app
Phone: +49 7361 6339046
2. Annual Welcoma Subscriptions
Welcoma paid subscription plans, including Pro, Business and Agency, are offered as recurring annual subscriptions unless otherwise stated during checkout.
Unless cancelled, an annual subscription automatically renews for another annual billing period.
You may cancel your subscription at any time before the next renewal.
Once your cancellation becomes effective:
- your subscription will not automatically renew for another billing period;
- no further recurring subscription charge will be made for the cancelled subscription; and
- your paid Welcoma features will normally remain available until the end of your current paid billing period.
Cancellation does not normally end access immediately unless you specifically exercise an applicable statutory withdrawal right or the service is terminated earlier for another legally permitted reason.
3. How to Cancel a Subscription
You may cancel an eligible Welcoma subscription through the cancellation functionality provided in your Welcoma account or on our website.
You may also contact us at:
info@welcoma.app
Please include sufficient information to allow us to identify your account and subscription, such as your account email address and, where relevant, the website or domain associated with the subscription.
Where applicable law requires an online cancellation function, Welcoma will provide such a function on welcoma.app.
For qualifying consumer subscription contracts subject to German law, the online cancellation facility will be provided in accordance with the applicable requirements for electronic cancellation of continuing consumer contracts.
After a valid online cancellation, you will receive an electronic confirmation where required by applicable law.
4. Effect of Subscription Cancellation
Cancelling an annual subscription normally takes effect at the end of the current paid billing period.
For example, if you cancel an annual subscription several months before its renewal date, you will normally continue to have access to the paid features until the end of that annual subscription period.
Cancellation prevents the next automatic renewal.
Unless mandatory law, an express refund guarantee or an individual agreement provides otherwise, cancellation does not entitle you to a full or partial refund for the unused portion of a billing period that has already been paid.
5. Cancellation Is Not Account Deletion
Cancelling a paid subscription does not automatically delete your Welcoma account.
If you also wish to delete your Welcoma account and associated account data, you can use the account-deletion functionality available through welcoma.app.
Account deletion and the processing or retention of associated personal data are governed by our Privacy Policy.
Certain information, such as invoices, transaction records or accounting information, may continue to be retained where required by applicable law even after an account is deleted.
6. Lifetime Licences
A Welcoma Lifetime licence is a one-time purchase.
Lifetime licences do not automatically renew and therefore do not have a recurring subscription that needs to be cancelled.
Once a Lifetime licence has been purchased, the payment is generally non-refundable except where:
- a statutory right of withdrawal applies;
- mandatory consumer law requires a refund;
- Welcoma has expressly agreed otherwise; or
- another statutory remedy applies.
Any statutory consumer rights applicable to a Lifetime licence remain unaffected.
7. Free Plan
The Welcoma Free plan does not involve a paid recurring subscription and therefore does not need to be cancelled to prevent future subscription charges.
If you maintain a Welcoma account under the Free plan and no longer wish to use Welcoma, you may separately delete your account.
8. Add-ons, Plain-Language Packages and Credits
Welcoma may offer additional products or services such as:
- plain-language packages;
- accessibility-related add-ons;
- usage packages; and
- one-time credits.
If an add-on is explicitly offered as a recurring subscription, it will automatically renew in accordance with the terms presented during purchase unless it is cancelled.
A recurring add-on may normally be cancelled in the same manner as a Welcoma subscription.
One-time credits, one-time packages and other products expressly identified as non-recurring do not automatically renew.
Any applicable:
- credit validity period;
- expiry date;
- usage limitations;
- rollover rules;
- refund rules; or
- other product-specific conditions
will be shown during purchase or governed by the applicable Welcoma Terms and Conditions.
Mandatory consumer rights remain unaffected.
9. Statutory Right of Withdrawal for Consumers
The following section applies where you are a consumer and German, European Union or other applicable consumer law grants you a statutory right of withdrawal.
A consumer is generally a natural person entering into a transaction primarily for purposes that are outside their trade, business or profession.
Business customers purchasing Welcoma primarily for their commercial, self-employed or professional activities generally do not have the statutory consumer right of withdrawal described in this section.
Your Right of Withdrawal
If you are an eligible consumer, you have the right to withdraw from an eligible contract within 14 days without giving any reason.
For a service contract, the withdrawal period generally begins on the date the contract is concluded.
To exercise your right of withdrawal, you must inform us of your decision to withdraw by means of a clear statement.
You can contact us at:
webAufstieg GmbH
Anton-Huber-Straße 20
73430 Aalen
Germany
Email: info@welcoma.app
Phone: +49 7361 6339046
You may, for example, send your withdrawal declaration by email or letter.
You may use the Model Withdrawal Form in Section 14 below, but use of that form is not mandatory.
To meet the withdrawal deadline, it is sufficient for you to send your withdrawal declaration before the withdrawal period expires.
10. Electronic Withdrawal Function
Where required by applicable law, Welcoma provides an electronic withdrawal function for eligible consumer contracts concluded through an online user interface.
During the applicable statutory withdrawal period, eligible consumers will be able to use the online withdrawal function made available through welcoma.app.
The electronic withdrawal process may request information necessary to identify:
- the consumer;
- the relevant contract or part of the contract to be withdrawn; and
- the electronic communication method to which confirmation should be sent.
After submitting the withdrawal through the electronic withdrawal function, Welcoma will provide an electronic confirmation of receipt containing the information required by applicable law.
The electronic withdrawal function provides an additional method of exercising your withdrawal right.
Where permitted by applicable law, you may still exercise your withdrawal right using another clear statement, including by contacting us at info@welcoma.app.
11. Effects of a Valid Withdrawal
If you validly withdraw from an eligible contract, we will reimburse payments received from you in connection with the withdrawn contract in accordance with applicable law.
Where German or European consumer law applies, reimbursement will generally be made without undue delay and no later than 14 days after we receive your withdrawal declaration.
Unless expressly agreed otherwise, reimbursement will normally be made using the same payment method used for the original transaction.
You will not be charged additional fees for the reimbursement solely because we use the original payment method.
Different rules may apply where services have already begun during the withdrawal period at your express request, as described below.
12. Services Started During the Withdrawal Period
Welcoma is a digital service and customers may wish to begin using paid functionality immediately after purchase.
Where you are an eligible consumer and expressly request that Welcoma begin providing a paid service before the statutory withdrawal period has expired, special statutory rules may apply.
If you subsequently exercise your withdrawal right before the service has been fully performed, you may be required, where the legal requirements are satisfied, to pay an amount proportionate to the services already provided up to the time we receive your withdrawal declaration.
For services that have been fully performed, the statutory right of withdrawal may expire if:
- you expressly requested or agreed that performance should begin before expiry of the withdrawal period;
- the service has been fully performed; and
- the other legal requirements for expiry of the withdrawal right have been satisfied.
Your mandatory statutory rights remain unaffected where these requirements have not been met.
13. Digital Content Supplied Electronically
Some Welcoma products or features may qualify as digital content that is supplied electronically and not on a tangible medium.
Where applicable law permits, the statutory right of withdrawal for paid digital content may expire once performance begins if, before performance starts:
- you expressly agree that performance may begin before the withdrawal period expires;
- you acknowledge that by giving this consent you will lose your right of withdrawal when performance begins; and
- Welcoma provides the confirmation required by applicable law.
If the statutory requirements for loss of the withdrawal right are not satisfied, your applicable withdrawal rights remain unaffected.
14. Model Withdrawal Form
If you wish to withdraw from an eligible contract, you may complete and send the following form.
Use of this form is optional.

73430 Aalen

15. Refunds Outside a Statutory Withdrawal Right
Except where mandatory law, an express Welcoma refund commitment or an individual agreement provides otherwise, payments already made are generally non-refundable after any applicable statutory withdrawal period has expired.
Cancelling a subscription normally prevents the next renewal rather than reversing the current paid billing period.
We therefore generally do not provide:
- partial refunds for unused days or months within an annual subscription;
- refunds simply because a customer stops using the service before the end of the paid period; or
- refunds for unused one-time credits or packages unless the applicable purchase terms expressly provide otherwise.
Nothing in this section restricts any mandatory legal rights relating to defective digital products or services, incorrect billing, statutory withdrawal, warranties, reimbursement or other remedies that cannot legally be excluded.
16. Duplicate, Incorrect or Unauthorised Charges
If you believe that:
- you have been charged twice for the same purchase;
- you were charged after a valid cancellation had taken effect;
- you were charged an incorrect amount; or
- another billing error has occurred,
please contact us promptly at:
info@welcoma.app
Where possible, include your account email address, invoice number, transaction details and a short description of the issue.
We will investigate the payment and correct confirmed billing errors.
Nothing in this section limits any rights you may have under applicable payment or consumer-protection law.
17. Failed Payments
If a recurring subscription payment fails, Welcoma or its payment processor may make further attempts to collect the amount due where permitted by applicable law and our Terms and Conditions.
Access to paid Welcoma functionality may be restricted or suspended if an amount remains unpaid.
A failed payment does not by itself constitute cancellation of your subscription.
If you wish to prevent a future renewal, you should cancel your subscription using one of the cancellation methods described in this Policy.
18. Mandatory Local Consumer Rights
Welcoma serves customers in different countries, including Germany, other countries within the European Union and European Economic Area, the United Kingdom and the United States.
Consumer-protection and cancellation rights can differ depending on where you live and which law applies to your purchase.
Nothing in this Policy is intended to exclude, restrict or reduce rights that cannot legally be waived or limited.
If applicable local law gives you more favourable cancellation, withdrawal or refund rights than those stated in this Policy, those mandatory rights will apply.
19. Changes to this Policy
We may update this Cancellation & Withdrawal Policy from time to time to reflect:
- changes to Welcoma products or plans;
- changes to billing or subscription models;
- new payment or cancellation functionality;
- changes to applicable laws; or
- improvements to our customer processes.
The latest version will be published on welcoma.app together with its “Last updated” date.
Changes to this Policy will not reduce mandatory rights that already apply to an existing contract.
